The Xpect powered web site supports multiple currencies, displaying product pricing and shopping cart totals in both Australian dollars and your local currency. Exchange rates are kept up to date with a periodic download.

Xpect runs on standard Microsoft Windows workstations (95, 98, NT, 2000, or XP), so you won’t have to purchase expensive proprietary hardware. As a result, Xpect is compatible with a much larger range of hardware options, giving us the ability to design a complete system that will exactly fit both your needs and budget.

Xpect allows customers to shop in their local currency and converts all transactions to Australian dollars automatically (conversion rate determined at time of transaction). Xpect can also accurately calculate freight charges and insurance costs for shipping orders (based upon value, weight, and destination) ensuring that your pricing is correctly quoted and always remains competitive. Warehouse and Stock

Xpect offers complete multi-location inventory control, integrating the tracking of stock levels at all stores and warehouses.

Inventory control

Keep tight control over shrinkage with the ability to audit all changes to quantity on hand at any time. Stock levels, accurate up to the moment, are available for any or all items, and at any or all locations.

If you choose, you can also give each store access to the stock levels in other stores and warehouses, ensuring that they can identify when and where stock is available. Search for stock, monitor levels, and track stock returns, all with ease from any location.

 

Stock takes

Perform full or partial stocktakes at any store at any time. Stocktakes can be performed either with barcode readers for maximum efficiency, or performed manually and adjustments entered when required. It's up to you.

Stock level adjustments are also always accompanied by the ID of the person making the change along with their remarks, ensuring that a complete record exists of all adjustments.

 

Stock movement

Any employee at any store, warehouse, or other location can locate inventory and request its shipment to another location whenever required. Stock reorder and replenishment levels can also be set and triggered automatically, making the maintenance of stock levels amongst your stores nearly effortless.

Tracking of all stock movements is also done automatically, and stored in the event that it is required for future reference.

 

Purchasing & receiving

Xpect can either notify you when stock needs to be reordered or just reorder the items automatically, based on predefined triggers. Fax and email orders are both supported.

Track orders pending, orders received, and partial orders received with ease. Xpect also handles backorders seamlessly, ensuring that you do not inadvertently over order when backorders have already been placed.

Greater Pricing Control

Setup price changes for specific stores or all stores in advance, and have them applied automatically on the required date. Also configure special pricing on particular items or all items, at stores in advance, specifying a date range that will be applied automatically.

 

Greater Flexibility

Each of your stores may be set up to trade under a completely different name and ABN, if you like, and all electronic payments routed to separate bank accounts based on store and/or payment method (i.e. transactions from different credit cards can be deposited into completely separate accounts). With this flexibility, you are able to operate each of your stores as completely separate profit centres, if you so choose.

 

General Ledger

Xpect is a full-blown accounting system, not just a point of sale solution, and includes a fully integrated General Ledger. Maintain your chart of accounts, produce profit and loss or balance sheet for the company as a whole or each store individually, and track Accounts Payables and Receivables.

No need to purchase an additional accounting package just to create your month end and yearly reporting, Xpect will provide all of the information that your accountant requires.

 

Detailed Audit Trails

Every transaction is tracked in detail and can be audited at any time from a permanent audit log that cannot be deleted or changed. Each transaction is tracked by unique ID and detailed transaction data is recorded such as the exact date, time, location, sales person's notes, and any other details specific to that transaction. Transactions are also always associated with the employee ID of the person who conducted the transaction, giving you an even higher degree of audit control.

All transaction information is maintained in Xpect internally and cannot be changed or deleted by anyone, giving you a reliable and permanent audit trail of each and every transaction.

All transaction dockets are also stored and can be viewed or reprinted at any time.

 

Staff Time Recording and Tracking

Sales by sales person or sales representative are also tracked, making calculation of commission and preparation of payroll both quick and uncomplicated.

No need for timesheets either as actual hours worked are automatically tracked through clocking-in and clocking-out functions using unique employee ID numbers.

Track Key Performance Indicators

Xpect tracks a wide array of Key Performance Indicators and graphically charts many of them, giving you the ability to quickly ascertain the health of your business. In fact, Xpect advanced automated tasks function allows a series of diagnostic checks to be run periodically and alert you of items that require attention as they occur!

System Access Control and Tracking

Each sales person is assigned a four digit PIN for all POS transactions, and a unique username and ID for logging into the system. While the PIN ensures that each transaction is associated with the correct sales person, the ID also allows you to restrict access to specific areas of Xpect based on individual or salesperson groups.

 

Manage your loyalty programs

Creating and managing frequent buyer programs and clubs is straightforward, for both free and paid membership programs. Set the points accumulation rate at a specified rate per amount spent, sign customers up, and allow them to automatically earn points as they shop. When an award threshold is reached, credits are automatically awarded to the customer. Monitor points accumulations and points earned/redeemed statistics for each buyer at any time.
